The Sample Resignation Letter

Leaving On A Positive Note Can Pay Off In Many Ways

So you found your dream job on Monster.ca and secured the offer of employment. Congratulations! Now it’s time to start thinking about how to prepare for your new role.

Just one thing. Since you’re already working somewhere else, you have to break the news that you’re leaving to the people you report to. The way you choose to do this can have a big influence on your future dealings with your present employer.

For instance, at some point a few years from now you may want to get a positive reference from your current boss or co-workers. Or perhaps you have a good relationship with these people and would prefer to keep things that way.

Preparing the Message

You can go a long way toward maintaining your reputation as you depart by being professional and upbeat. This is not the time to trash your boss or make accusations against co-workers. Instead, use this opportunity to thank your current employer and provide a concise explanation for why you have elected to move on job-wise.

Draft an e-mail to your boss using the following template as a guide, if you find it helpful:


To: (insert the e-mail address of your boss here)

Subject: Letter of Resignation

Dear (insert the name of your boss or bosses here),

This is to let you know that I am resigning from (name of your current employer here) as of today. To help make sure that there is a smooth transition for you and the team I will gladly stay on for two more weeks and assist as best I can.

The reason that I’m leaving is because I found a new job that is closer to my home and is in an industry sector I want to gain more experience in.

I have greatly enjoyed my time working with you here. You have always been there for me and the company has been too. I will truly miss everyone here.

Hopefully the two weeks of notice I am giving you today will show you that I am resigning in good faith. You and I should meet as soon as possible to discuss how we might work together to make the most of my remaining time here.

Spreading The Word

Out of respect for your boss, you should wait until they’ve read your letter before you start telling everyone else at work that you’re moving on. If you happen to work for a larger employer that has a separate Human Resources (HR) facility, it’s a good idea to copy that department on the e-mail that you send to your boss. This way HR can begin processing the necessary departure forms and maintain your pay if your boss decides to keep you on during your notice period.

After sending the resignation letter and meeting with your boss, all that’s left is for you to continue working there in a dedicated, professional manner until your notice period finishes. This way you leave behind a sterling reputation and many good memories.
